Privacy Policy

Club de Volleyball AAA (“the club”), a registered Québec non-profit (NEQ 1182035940), respects the privacy of the people who use its site and register for its activities. This policy describes what personal information is collected, why, and what your rights are, in accordance with Québec's Law 25 and PIPEDA.

Information collected

When registering for a tryout or activity (through the Zeffy platform):

• identity and contact details: name, date of birth, email, phone;
• emergency contact: name and phone;
• athletic profile: experience, position(s), height (optional);
• relevant medical considerations (optional);
• consents: acceptance of club policies and optional media consent;
• payment information, processed directly by Zeffy. The club never has access to card numbers.

When using the contact form (through Formspree): name, email, and message content.

Purposes

• managing registrations, tryouts, and club activities;
• communicating logistics (schedules, venues, selection results);
• ensuring participant safety (emergency contact, medical considerations);
• answering messages sent through the contact form;
• meeting the club's obligations toward Volleyball Québec and its insurers, where required.

The club does not use your information for advertising and does not sell it to anyone.

Media consent

Photos and videos may be taken during practices and matches. Their promotional use (website, social media) relies on the optional consent given at registration. This consent can be withdrawn at any time by writing to the club; the images concerned will be removed from club-controlled publications within a reasonable time.

Service providers

The club uses providers to operate its site and registrations:

• Zeffy: registration forms and payments;
• Formspree: delivery of contact-form messages;
• Vercel: website hosting.

These providers may process or store data outside Québec, including elsewhere in Canada or in the United States. The site itself uses no tracking cookies and no advertising analytics.

Retention

Information is kept only as long as necessary for the purposes described above, then securely deleted or anonymized.

Your rights

You may request access to the information the club holds about you, its correction or deletion, and withdraw a consent, by writing to aaa.volleyball.club@gmail.com. If you believe your rights have not been respected, you may contact the Commission d'accès à l'information du Québec.

Changes

This policy may be updated. The date of the last update appears at the top of the page.
